1. Scope of Services
PB Concierge LLC provides luxury personal and executive concierge services, which may include:
Lifestyle management
Executive assistance

Chauffeur coordination (through licensed third-party providers)

Hotel and dining reservations
Event planning support
International travel coordination
Personal errand management
PB Concierge acts as a coordinator and facilitator. We do not operate as a transportation carrier, travel agency, or airline.
2. Retainers & Advance Deposits
Due to the high-demand and personalized nature of our services:
Services require advance retainer payment.
Retainers secure priority availability and scheduling.
Retainers are applied toward services rendered.
Retainer funds may be held in our operating account and are not escrowed.
Failure to maintain an active retainer may result in suspension of services.
3. Payment Terms
All payments are due in advance unless otherwise agreed in writing.
Payments may be made via:

Apple Pay
ACH (when available)
Wire transfer (upon request)
Payments are processed securely through Squarespace Payments and its authorized third-party processors.
Client authorizes PB Concierge to charge the approved payment method for agreed services, retainers, add-ons, and approved expenses.
4. Payment Processor Reviews & Reserve Holds
Due to the size and nature of concierge retainers:
Transactions may be subject to fraud review.
Payment processors may place temporary reserve holds.
Additional documentation may be requested to verify services.
PB Concierge does not control payment processor reserve decisions but will cooperate fully in compliance reviews.
Client agrees not to initiate chargebacks without first contacting PB Concierge to resolve concerns.
5. Refund & Cancellation Policy
Retainers are non-refundable once services have commenced.
If cancellation occurs prior to service commencement:
Cancellation must be made in writing.
Administrative fees may apply.
Reserved third-party services may be subject to vendor cancellation policies.
Reserved chauffeur blocks, vehicle holds, charter reservations, and high-demand holiday scheduling may be non-refundable due to vendor commitments.

6. Third-Party Providers
PB Concierge may coordinate services through third-party providers including:
Licensed chauffeurs
Transportation companies
Hotels
Charter operators
Event venues
International service providers
PB Concierge is not liable for acts, omissions, delays, cancellations, or negligence of third-party providers.
All third-party services are subject to the provider’s own terms and policies.
7. Client Responsibilities
Client agrees to:
Provide accurate information
Timely communicate schedule changes
Maintain valid travel documentation
Review confirmations promptly
Respect scheduled time commitments
Client is responsible for any damages caused by themselves or their guests to third-party property or vehicles.
8. Limitation of Liability
To the maximum extent permitted by Florida law:

Indirect or consequential damages
Missed flights or connections
Third-party service disruptions
Weather delays
Force majeure events
International travel disruptions
Our liability shall not exceed the amount paid by Client for the specific service giving rise to the claim.
9. Confidentiality
PB Concierge maintains strict discretion and confidentiality standards.
Client information will not be disclosed except as necessary to perform requested services or as required by law.
10. Force Majeure
PB Concierge shall not be liable for failure or delay in performance due to events beyond reasonable control, including but not limited to:
Weather events
Flight cancellations
Government restrictions
Travel disruptions
Illness or personal emergencies
Where possible, we will attempt to reschedule services.
Refund and Cancellation Policy

This Refund & Cancellation Policy governs all services provided by PB Concierge LLC (“PB Concierge,” “Company,” “we,” “our,” or “us”).
By engaging our services or submitting payment, you agree to the terms outlined below.
1. Nature of Concierge Retainers
PB Concierge operates on an advance retainer model.
Retainers:
Secure priority availability
Reserve staff time and scheduling
Confirm third-party vendor commitments
Allow dedicated service allocation
Retainers are not escrow deposits and are not automatically refundable.
2. Non-Refundable Administrative Commitment
Upon receipt of payment, PB Concierge immediately allocates staff time, administrative resources, and, where applicable, third-party vendor commitments.
Accordingly:
• Administrative fees are non-refundable once services begin
• Planning, scheduling, coordination, and vendor reservation work constitutes commencement of services
3. Chauffeur & Reserved Vehicle Cancellations
For reserved transportation services (including 12-hour chauffeur blocks):
Cancellation must be submitted in writing.
Cancellations made 72+ hours prior to service may receive partial credit, less administrative fees.
Cancellations within 72 hours of service are non-refundable due to vendor commitment and vehicle hold.
Holiday periods (including Presidents’ Weekend and other peak demand periods) are strictly non-refundable once confirmed.
Reserved time blocks represent lost booking opportunities and cannot be resold on short notice.
4. Retainer Balance Adjustments
If a client cancels future services:
Unused retainer funds may be applied to future services within 90 days, subject to availability.
After 90 days, unused retainers may be forfeited.
Third-party vendor payments already disbursed are non-refundable.
5. International Travel & Charter Services
For:
Private air charter
Marine charter
International travel coordination
High-demand seasonal bookings
Refunds are governed by the underlying third-party provider’s cancellation policy.
PB Concierge is not responsible for vendor-imposed penalties or cancellation fees.
6. Client-Initiated Payment Disputes
Clients agree to contact PB Concierge directly to resolve billing concerns prior to initiating any chargeback or payment dispute.
Chargebacks filed without prior written communication may:
Result in immediate suspension of services
Require documentation submission to payment processors
Trigger recovery of administrative and dispute costs
We maintain detailed service records to substantiate all transactions.
7. Force Majeure
Refunds will not be issued for cancellations caused by events beyond PB Concierge’s control, including:
Weather events
Flight cancellations
Government restrictions
Travel disruptions
Illness or personal emergencies
Where possible, we will attempt to reschedule services.
8. No Guarantee of Availability
Due to seasonal demand in Palm Beach and other luxury markets:
Rescheduling is subject to availability.
Priority is given to clients maintaining active retainers.
9. Refund Processing Timeline
If a refund is approved:
Refunds will be issued to the original payment method.
Processing time may vary depending on the payment processor.
PB Concierge is not responsible for banking or processor delays.
10. Governing Law

Services are not provided on a “pay-after” basis unless expressly agreed in writing.
2. Minimum Retainer Requirements
The minimum retainer amount will be specified in your proposal, invoice, or service agreement.
Typical retainer ranges may include:
$2,500 – Short-term scheduling hold
$5,000 – Standard service retainer
$10,000+ – Executive priority retainer
Retainer levels may vary depending on season, demand, and scope of services.
3. Application of Retainer Funds
Retainers are applied toward:
Concierge service hours
Administrative coordination
Chauffeur block reservations
Travel planning services
Vendor deposits
Approved third-party expenses
Detailed statements may be provided upon request.
4. Replenishment of Retainers
If retainer balance approaches depletion:
Client will be notified.
Services may pause until retainer is replenished.
Priority access may be suspended if account is not maintained in good standing.
High-demand periods require active retainers to maintain booking priority.
5. Authorization to Charge
By submitting payment, Client authorizes PB Concierge to charge the approved payment method for:
Initial retainer
Retainer replenishments
Approved expenses
Vendor deposits
Additional service requests
All charges will reflect the agreed-upon scope of services.
6. Payment Methods
Accepted forms of payment may include:
Major credit cards
Apple Pay
ACH transfer (when available)
Domestic or international wire transfer
All credit card transactions are processed securely via Squarespace Payments and its authorized processors.
PB Concierge does not store full card numbers.
7. High-Value Transaction Review
Due to the nature of luxury concierge retainers:
Certain transactions may trigger fraud prevention reviews.
Payment processors may temporarily reserve funds.
Identity verification may be required.
Client agrees to cooperate with reasonable verification requests.
PB Concierge is not responsible for processor-imposed reserve holds.
8. Billing Transparency

9. Expiration of Retainers

Retainers are valid for 90 days from date of payment.

2. Nature of Concierge Retainers

Once services have commenced — including planning, vendor outreach, vehicle reservation, itinerary preparation, or administrative coordination — the retainer is considered partially or fully earned.
Chargebacks based on dissatisfaction after services have commenced may be disputed.
3. Documentation & Recordkeeping
PB Concierge maintains detailed records, including:
Service proposals
Email confirmations
Text communications
Vendor confirmations
Reservation timestamps
Travel coordination logs
Signed agreements
Payment authorization records
In the event of a chargeback, this documentation may be submitted to the payment processor to validate the transaction.
4. Unauthorized or Fraudulent Claims
If a chargeback is filed alleging fraud, unauthorized use, or non-receipt of services, PB Concierge reserves the right to provide:
IP address verification
Device fingerprint data
Email confirmation logs
Service commencement evidence
Vendor commitment confirmations
Knowingly filing a false chargeback may constitute fraud.
5. Suspension of Services
If a client initiates a chargeback:
All services may be immediately suspended.
Future reservations may be canceled.
Retainer privileges may be revoked.
Client account may be permanently closed.
Outstanding balances, dispute fees, and administrative costs may be invoiced separately.
6. Recovery of Costs
Client agrees that if a chargeback is initiated in violation of these Terms:
PB Concierge may pursue recovery of disputed funds.
Administrative time, dispute fees, and collection costs may be added to the outstanding balance.
Legal remedies available under Florida law may be pursued if necessary.
7. No Waiver of Rights
Failure to immediately contest a dispute does not waive PB Concierge’s right to seek recovery through lawful means.
8. Good Faith Standard
PB Concierge operates in good faith and expects the same from its clients.
Our business model relies on:
Advance scheduling
Vendor commitments
Limited seasonal availability
Improper chargebacks disrupt reserved resources and vendor relationships.
9. Governing Law
This Policy shall be governed by the laws of the State of Florida.
Any disputes arising from services or payment transactions shall be resolved in Palm Beach County, Florida.
